Operations Coordinator Internship Description

The Bullitt Agency is among the top electronic music talent agencies in the world, with offices in Los Angeles, New York, Washington DC, Toronto, Buenos Aires and Barcelona. Our agency represents many of the music industry’s most successful DJs and producers, helping to navigate their careers by placing them into leading festivals, clubs, and nightlife events around the globe.

Bullitt is presently seeking an Operations Coordinator Intern for our Barcelona Office to assist and learn the skills associated with coordinating events in Europe and Rest of World (excluding North/Central/South America). The ideal candidate will have a passion for entertainment, music, and travel with a desire to learn more about the many aspects of the music business.

Tasks will include, but are not limited to:

● Administrative duties such as handling email, and other digital correspondence, calendar management, scheduling travel, booking reports, and general office management tasks
● Drafting talent contracts/invoices and working in tandem with accounts department on show from start to finish
● Assisting Talent Agents in keeping accurate and organized records of tours and tracking outreach and responses
● Communicating with talent buyers on marketing, advancing, and updating artists/management on event
● Assisting with special projects, venue/artist research, and compiling other useful information as needed
● Managing executive’s calendar and prepping for and taking notes during business calls/meetings

Qualifications:

● Exceptional interpersonal, communication, writing and organizational skills required
● Ideal candidate is proactive, detailed-oriented, with good follow-through skills
● Ability to work well under pressure; meet tight deadlines; manage multiple projects and expectations; and maintain a sharp focus while managing competing priorities
● Ability to anticipate needs and execute time-sensitive matters in a fast-paced environment
● Attention to detail, meticulous organization and problem-solving skills are a must
● Strong interpersonal skills; written and verbal communication is a must to be successful in this role
● Ability to work with limited supervision and adjust easily to changing priorities
● Skilled at quickly learning new processes, technology, and ability to assimilate oneself and become familiar with existing systems; offer process improvements, as needed
● Proficiency with Microsoft Office Suite, especially Microsoft Outlook or Mac Mail, Excel
● Proficient in English speaking (speaking additional languages will be weighted positively)
● 5x days/week with 10:00 – 18:00 availability to intern out of our office in Barcelona center
● BA/BS Degree preferred
